Who can attend FEBA Annual Convention 2020?
FEBA Annual Convention 2020 starts with the working lunch on 23 April and ends with the closing lunch (in the process of definition) on 25 April 2020. Participants are expected to arrive in Berlin in the morning of 23 April and leave in the afternoon of 25 April.
The event includes the following sections:
- FEBA Annual Convention 2020 from 23 to 25 April: open to all participants
- FEBA Presidents’ Meeting on 23 April: open only to Presidents of Full Members. In the absence of the President, a participant may be
delegated - FEBA Ordinary General Assembly and Extraordinary General Assembly: open only to delegate(s) of Full Members

The number of participants for each Full Member is equivalent to the number of delegate(s) of FEBA General Assemblies, in accordance with FEBA Statute – i.e. Austria (1), Belgium (2), Bulgaria (1), Czech Republic (3), Denmark (1), Estonia (1), France (5), Germany (5), Greece (2), Hungary (2), Ireland (1), Italy (4), Lithuania (1), Luxembourg (1), Netherlands (2), Norway (2), Poland (5), Portugal (4), Serbia (2), Slovakia (1), Spain (5), Switzerland (1), Ukraine (1), United Kingdom (4).
Participation is also open to Associate Members (Albania, FYROM-Macedonia, Malta, Romania and Slovenia) which can register one participant.
Registration & accompanying people
Registration for FEBA Annual Convention 2020 is open from Tuesday 18 February to Tuesday 3 March 2020.
Full Members can register a maximum number of participants equal to the number of delegate(s), while Associate Members can register only one person.
Upon completion of the registration form, each participant will receive an email acknowledging the registration. FEBA will review the registration
form and will then confirm or not the participation, sending a confirmation email. The participation is confirmed only with the confirmation email. Please check your SPAM emails.
We kindly recommend you to insert your flight preferences in the registration form but to book your flights only once you have received the confirmation email.
After the registration deadline, FEBA will assess the possibility of additional participants and inform its membership accordingly.
Accompanying people (wives, husbands, partners, etc.) are welcomed to join the participants of FEBA Annual Convention 2020. Please note that accompanying people cannot attend the works of FEBA Annual Convention, which means that they will not attend the conferences during the day but they are welcome to join the participants for the evening program on 23 and 24 April (in the process of definition).
The accompanying person shall cover her/his own expenses:
- About 30 € per night as supplement for 2nd person at the hotel (accommodation, city tax and breakfast)
- Costs of meals and any extra expenses
Travel & accommodation expenses
FEBA organizes and covers accommodation costs (2 nights maximum – 23, 24 April) for the delegate(s) of each Full Member, according to the information inserted in the registration form.
Upon request, FEBA can organize and cover accommodation costs (2 nights maximum – 23, 24 April) of Associate Members, according to the
information inserted in the registration form. Associate Members should send an email at AnnualConvention@eurofoodbank.org and FEBA will evaluate each request on a case by case basis.
FEBA organizes and covers the costs of meals during FEBA Annual Convention 2020, from 23 to 25 April (in the process of definition).
Both for Full Members and Associate Members, the possibility of reimbursing travel costs (maximum 300 EUR per person) will be evaluated by FEBA upon request and on a case by case basis. If accepted, in order to receive the reimbursement, Associate Members shall complete a travel expense note, including all necessary supporting documents (flight/train reservation AND boarding passes/train tickets).
To obtain reimbursement, documents should be received within 1 month after the date of FEBA Annual Convention 2020. Without receiving all the requested documents duly filled in, signed, and on time, FEBA will not proceed with the reimbursement.
If a participant registers but cannot attend, he/she can be replaced by someone else of the same country. He/she is responsible to find a replacement. The cancellation of participation is free of charge until 6 March 2020, after this date FEBA will charge participants the full cost of
participation.
Extra night(s) required due to travel arrangements
In the case that additional nights are required due to travel arrangements, please send an email at AnnualConvention@eurofoodbank.org with the details of the nights you need. FEBA will take care of the reservation in the same hotel but the costs of extra night(s) will be at charge of participants.
Prices for extra night(s):
Single room per night 20.04.2020 – 23.04.2020: 125,95 Euro / from 25.04.2020: 83,95 Euro
Double room per night 20.04.2020 – 23.04.2020: 153,20 Euro / from 25.04.2020: 111,20 Euro
